Newberg Booster Club

Minutes – February 17, 2010

In attendance:  Tim Burke, Valerie Hamilton, Leonard Farr, Cheryl Gardner, Doug Corder, Sam Petrie(student), Jordan Danielson(student), Jon Halstead, Mary Jane Bachmeier, Stacie Wolfe, Carol O’Halloran ,Joan Broadwell.

1. Review January Meeting Minutes
∑ Tim handed out January minutes, as prepared by Jill McKenzie.  Motion to approve minutes made by  Doug Corder.  Seconded by Mary Jane Bachmeier.  Motion passed

2. Financial Report – Kathy Jones/ Valerie Hamilton
∑ Kathy had a family emergency.  As such, it is recommended that we table all requests until officers can vote via email

3. Requests
® Baseball – Sam Petrie and Jordan Danielson – baseball.  Baseball is heading to Arizona over spring break.  They are requesting $1600 for help paying for transportation (van rental) once down there.
® Girls Tennis – Jon Halstead – Request for $400 to pay for a ball cart to replace the shopping cart that has been used in the past.  Also purchased would be training discs and 60 soft spin tennis balls for training.
® Boys Tennis – Dave Brown – no one here.
® Grad Night – Valerie Hamilton – Grad Night has requested booster wear for their auction.  Items suggested to donate are flip-flops, sweatshirt and sweatpants.  Auction will be held in April.

4. Athletes of the Month:
∑ AJ Grant and Austin Woods nominated:  AJ was chosen.
∑ Girls Swimming Relay Teams and Newberg Cheerleaders were nominated.  Girls Swimming Relay Teams were chosen.

5. Old Business
® Crab Feed – 130 tickets sold.   Good participation in baskets.  Food was fantastic – local families donated wine to sell by the glass.  Need more involvement for people to lead different aspects, as opposed to Lisa and Valerie taking on and directing the event.  Specific sport teams can take on certain tasks.  We need to list tasks, assign those tasks to teams/coaches.  Kids can donate a few hours of time and repay adults for their support.
® Teams can be preparing baskets seasonally.
® Although financial report isn’t available tonight, a guess is that the auction brought in about $7,000.  As this event grows, we need to branch out to alumni.  Other ideas include having businesses sponsor tables of 8.

6.    Spirit Events
® We have had two events.  McMinnville, on Thursday, February 25 will be the last one.

7.    Committee Reports
∑ Concessions – Cheryl Gardner
Winter review – A lot of different names are on the list, which is great.  We still have a handful of steadfast volunteers.  Tiger Cub Cheer Night caught us off guard, in terms of stock, so Tim will give heads up next year.

Playoffs:  Girls Basketball will host a game at 7pm on Tuesday, March 2.  Boys will host a game on Wednesday, March 3.

Spring concessions:
Track, baseball, softball.  Probably no tennis.  We still need someone to wire the concessions trailer.
Special Middle School/Club Events.  There will be two middle school track meets and one middle school district wrestling tournament on March 10.  Tim will get the two track dates out to Valerie and Lisa.

∑ Tiger Gear – Kathy Miller – need to get a table out to display the booster gear so it is in front of people.  Mary Jane will help organize, while Paula Kriz models the booster wear.

∑ Field of Dreams/Track Project– Tim Burke
$50,000 was deposited from A-dec foundation.

∑ Scrip – took a little break.  We will get this back up and running full speed after a lull for the crab feed.

8.  New Business
∑ Booster Club Mission Task Force
i. Valerie is suggesting a task force to talk about the direction of the booster club.  The feeling is that groups are still fragmented back into their own programs.  While things are better, are they what we as a program want/need?  Use this as a checkpoint to determine course of the club in the future.  How do teams view the boosters?  What do they see?  What do they want?  Global approach to all programs…is this working for teams?  What are the obstacles that prevent this group from exploding into a larger, more functional group?  Can Claudia Stewart put together a zoomerang survey that would help generate more feedback?  Must involve the coaches.  Coaches must actively demonstrate support for boosters, buy-in and get support from their parents.  How do we accomplish this task?
ii. Action:  Doug suggested a summer project?  Need to organize it now.
∑ Golf Tournament…any interest in getting this going?
∑ Elections in May…

Invitational trip in March @ $1000  Approved
3. To purchase boys tennis teams warm ups @ $1280  Tabled
(We are waiting until the Feb. mtg. To possibly see a sample
and check our financial report)

-Tim will email the nominees to us for a vote.

Ticket Sales are a bit flat.
(All Staff –Newberg will receive a flyer.)

Information will also go out to all of the small schools.

We need donations.  Try and make an attempt to either

*Lisa made a motion that the Crab Feed is a Booster
Club fundraiser and after all expenses have been paid
That 50% of the profits go to the Field of Dreams
(It was moved and seconded)

*Valerie will put together a basket with tiger gear donated
From the Booster Club.

-Spirit Event
This Friday, January 22nd ! (Swimming, Water Polo, Dance Team,
Cheerleading, Jazz Band, & Shot (4 shot combo) with a $500
insurance policy.
We will give tiger wear as a consolation prize.
Next events are Feb. 2nd & Feb. 16th (On the 16th is the t-
shirt event)

*New Business
-Need electrician to rewire concession cart!  Check with friends
and network to see if we can find someone to do the work &
then contact Valerie.
-Website Coordinator (Tim will ask the computer teachers if
they have any ideas or it may be a good senior project.

Got Matching Grant For Field of Dreams!
Field of Dreams-Volleyball Tournaments Jan. 31st, Feb. 14th,
& March 20th
The concessions $ would go to the Booster

*Some outstanding debts still coming in.

*Discussion was held to possibly take out the scholarship $4000

money & $2500 for the Sports Banquet now since we have it.

decision tabled since Kathy (treasurer) was not at this

meeting.

*Discussion about guidelines for requests regarding summer

-Biggest concern is that we start selling tickets NOW!

($25 per ticket w/name & number so we can keep track)

-Need advertising (Someone to start organizing for auction)

-Each team is to donate one basket

-Need insurance

-Already signed contract for CPRD

-Stacie will make flyer to distribute

-Valerie will send out emails of what help she needs.

-Tim will talk to Cathy Harris about tickets.

· Committees

*Concessions-We will pool volunteers to help w/concessions

-Always need more openers & closers!

*Fundraising-Sineage is out! Some signs need to be put up

and others taken down.

*Script-Since April 2008 sold $137,000 so earned $6,500

toward student accounts. (only about 10 active families.)

-Could use money that we earn from this for Field of

Dreams.

-Can order online @ GLScript.com and then drop off

a check to Valerie. Valerie then picks up the order.

*Field of Dreams-No new information!

*Tiger Gear-Kathy has ordered cinch bags & they are coming.

-She also ordered car flags and tigers.

-She can order headbands quickly for our Booster

September minutes approved with amendment that Carol O’Halloran is liason for Varsity girls soccer and Mary Jane Bachmeier is liason for JV girls soccer and softball.

Financial

  • Available:  $10,345.60 (also have $601.81 in benevolence account)
  • Outstanding owed to NBC - nothing
  • Kathy discussed the auditing process – waiting on some scrip information.
  • Kathy also commented on the great support she observes with regards to concessions.  Last home football game brought in $3800
  • Field Turf account…we need about $7500 to reach our matching grant of $50,000.

Financial report was approved

Requests – Three requests – two financial – all three approved unanimously.

  • BBQ – A non-financial request was made by NHS students, Jeremy Avgerakis and Hannah Porter.  The request is that the boosters open up the concessions and sell hamburgers, etc for the McMinnville football game.  Lisa Hazenberg had mentioned that they could cook the brisquet that was to be used for the golf tournament. ( Motion to approve by Mary Jane Bachmeier, second by Kathy Jones)
  • Cross Country – (Tim Burke)  Annual request for no more than $125 to pay for ribbons for Champoeg Invitational.  Moved to approve, seconded by everyone.
  • Athletic Department – (Tim Burke)  Tim presented a request for $750 which would pay for the Impact Concussion Management Program.  This program would test every student-athlete, giving us a baseline and then, if any student-athlete suffers any symptoms of a concussion, a post test would then be taken and then interpreted by a doctor.  Motion to approve and seconded.

Student-Athlete of the Month

Allison “B” Hamilton and Nolan Staples were selected as Newberg Booster Club Athlete of the Month winners for October.

Old Business

  • Golf Tournament – Tournament was postponed due to poor response.  There is a commitment to begin to plan to host one in September.
  • Fall Spirit Event – Summary of the event on September 18.  Lots of fun had by our students and younger students.  Special thanks to the dance team for running the events.
  • Crab Feed – February 6, 2010  We are set to host this at the Armory.  CPRD is not charging us, as we are a non-profit trying to raise funds.  Lisa is going 100 miles per hour, so any support we can send her way would be great!  Baseball is wanting to piggy back on this event with a Casino night, that was also postponed.

New Business

  • Tailgate Party – November 6th – 5:30pm – Already discussed with the request above.  Cheryl noted that she was a bit concerned that we get enough people to help run the concessions.  Senior night will pull away some of our top workers….
  • Jam the Gym Events – We have four basketball nights when we are hosting doubleheaders.  One, January 22 is on a Friday vs McMinnville.  We are committed to helping two senior girls with some fun activities for that night.  Valerie talked about spending $250 to buy an insurance rider for a $10,000 half court shot…more on that later.
  • Winter Sport meetings:    The high school is not having a specific night for winter sports to meet  - but each program is expected to hold a parent meeting.  Tim will let everyone know when those will be held.  We need to get contact information from parents at those meetings – particularly email.  Coaches are asked to strongly encourage support for the NBC.

  • Gym banners are up for renewal  - Lisa Hazenberg is working on this.
  • Concessions (Cheryl Gardner)
  • Good support so far, lots of new faces.  Need a new coordinator for the winter…to help replace Cheryl.
  • Training date is September 3
  • Tiger Gear (formerly known as Booster Wear (Kathy Miller)
  • Valerie reported that the slides and slippers are in and things seem to be going well.
  • New vendor:  Fancy Stitches Embroidery Studio
  • Field of Dreams (Valerie Hamilton)
  • A-Dec Matching grant extended to 1/15/10
  • Pushing ahead with project – in spite of obstacles
  • Scrip (Valerie Hamilton)
  • Chugging along.  Still don’t have very many people taking advantage of it.  Perhaps joining with Grad Night would help?  No decision on that….Valerie talked about new tax laws that would be a win-win situation.

    Review of last meeting minutes-
    Will review August minutes @ October meeting.
    Fall Sports Event-
    Friday, September 18th @ 4:30-7:00 pm.
    *Debbie Irisk will call Abbys to put up reminder of Spirit
    Night
    Golf Tournament-
    -October 17th ($75 per individual, $250 per foursome) @
    Chehelam Golf Course
    -Tee fees & Green fees go to Field of Dreams account.
    -All $ from raffle items will go to Booster Club.
    -Flyers will be passed out.
    -Food (Lisa is working on the lunch portion of the tournament.)
    Casino Night-
    -Sponsored by NHS Baseball parents
    (Alcohol will be served during the Golf Tournament & Casino

    *There is a football link to Storybox Productions and it
    Has a highlight video of the Newberg football games.
    -It seems that our website has not been up to
    par in the beginning months.  It seems to be
    better now. Check again in October.
    Fundraising
    *When contacting businesses it is probably a good idea for
    the Booster Club to have list of who has already been
    contacted so they do not feel like they are being
    bombarded with requests for donations.
    Email the businesses that you’ve contacted to Lisa
    Hazenberg by October 14th.
    Liaisons
    *Already have a list of most of the liaisons.  Some new
    Liaisons are:

    Valerie will be the bookkeeper for the turf account and
    will give us a report at the October meeting.
    It is important to have one person in charge of the
    checkbook. (Keep accountability!)

    of turf account.

    Jessica had flyers to share so that people know how easy
    it is to donate by shopping at certain stores.

    *4 teams of concession workers (Only work one to two games so the volunteers do not get burned out.)
